Charging a company car at home: a smooth month-end starts with the first session

At month-end, an employer asks one simple question: how much energy did you put into the company car at home? The wallbox total is available, but the family's other car also used it. Total kWh alone cannot answer.

A good process starts with the first session. If every charge is consistently identified as company or private, month-end may need only a few checks and an agreed report.

Ask for an acceptable sample first

Before choosing a charger, ask the employer what data and format are required. Establish whether a particular meter type or user identification is needed and whether a fleet provider is appointed.

This directly affects charger choice. A private consumption log differs from a company report with fixed monthly fields. The employer or provider must be able to process the technical data.

Also agree the source of the unit price and who approves the report. The employer's accounts team or appointed provider defines documentation and reimbursement conditions; align data collection with them.

Record who charged as well as the measurement

MID is short for the European Measuring Instruments Directive. Measurement must still be assigned to a person and processed in an accepted way; the meter alone is not a tax or invoicing solution.

If both company and private cars use one shared identifier, its name will not prove which car was connected. Build a routine that makes this distinction every time.

What does a traceable month look like?

In our example, 490 kWh passes through the charger. Consistently identified sessions assign 380 kWh to the company car and 110 kWh to the private car, matching the total.

The company share is 380 × 72. The unit price is illustrative, not a current tariff or reimbursement rate. The calculation uses charger-metered energy; energy stored in the battery is different data.

A traceable report shows how the total was built. If the employer questions an unusually large day, retrieve that session instead of reconstructing the month from memory.

What happens to an unidentified session?

Suppose 14 kWh in another month cannot be assigned clearly to either car. The measured total may still be correct, but the company share needs clarification.

Flag the session and consult the person who charged. Record which entry was corrected, how it was classified and why. The correction stays traceable and next month's routine can improve.

This exception illustrates the process: precise measurement and reliable identification complement one another. Month-end needs both.

During commissioning, run a short trial charge and report. Check user, time and kWh quantity and confirm the monthly processor receives the data.

Where prices vary by time, total monthly kWh also needs a time breakdown. With solar charging, separately agree how on-site generation is handled. Charger measurement alone does not separate purchased from locally generated energy.

Use one short, repeatable month-end process

Set start and end times and use the same period in all compared reports. Check company sessions and exceptions, prepare the report with agreed price data and retain the underlying export.

For the first quote, bring the employer's requirement, car model and number of other vehicles using the charger. You can then choose a system that supports both evening charging and monthly data handover.
